Terms and Conditions

  • When you book sessions at Kings Castle, this is a contractual agreement between yourself and the nursery and fees are therefore payable in accordance with our terms and conditions from this point onwards. Furthermore, you will be subject to giving 8 weeks’ notice in writing should you wish to reduce your child’s hours, withdraw your child from the nursery or cancel your booking. The 8-week notice period begins from the date you register your child.
  • Fees for hours booked are fixed and are payable whether your child attends or not.
  • Invoices will be sent out by email at least one week in advance of the month for which the invoice is due. Please kindly note that all fees will be payable by the first of the month. Please ensure that we have an up-to-date email address for you
  • Extra sessions are subject to availability. Please contact us to check availability.
  • Packed lunch or hot lunch we offer parents a choice of packed lunch (provided by parents) or a 2-course hot lunch provided by the nursery. Please see the above prices for hot lunch prices. Packed lunches must be healthy and balanced and cannot contain nuts, sweets, sugary drinks or fizzy drinks.
  • Hot lunches can be booked for a minimum of 4 weeks at a time and should be requested at least 3 weeks in advance. A notice period of 3 weeks is required should you wish to cancel hot lunches for the following month. Notice must be given in writing. A supplement may apply for complex dietary requests.
  • Any adjustments to your invoice such as extra hours will be invoiced separately the following month.
  • If a payment reminder letter is sent to you, you will incur a £10.00 charge plus an administration charge of £10 for each week for which the fees are late.
  • We may not accept a child at the nursery in the case of late payment.
  • We regret that days off due to illness and holiday must be paid for as a place has been reserved for your child. In the case of long-term sickness (ie. A medically certified absence of 12 weeks or longer), the nursery will endeavour to waive fees for this period and charge a retainer instead. For funded children, consumable charges and hot lunch fees will be refunded for holidays booked at least one month in advance.
  • The nursery is closed for approximately 1 week for Christmas / New Year and you will not be charged for this period. Fees will be charged as normal for any other sessions missed due to holiday or due to illness, etc. Please notify the nursery of your holiday plans at least 4 weeks in advance.
  • The nursery is closed on bank holidays / public holidays. You will not be charged for any “paid hours” missed due to normal bank / public holidays. Fees will usually be charged for “extra” bank holidays given for national “one-off” events such as jubilees, funerals, coronations, etc.
  • We make every effort to stay open and offer a full service to all our children and parents. If however, the directors and management decide that the nursery has to close for reasons beyond our control such as snow, ice, flood, power-cut, industrial action, major health & safety issues, etc, fees will be payable for your contracted hours and no refunds will be due. In such cases, we will make every effort to minimise the closure period and to notify you in advance. Any change to this policy, is solely at the nursery’s discretion.
  • If your child is required to miss nursery on the advice of a doctor, medical professional, PHE or similar authority due to illness etc, fees will be charged as normal, and no refunds will be due. Any change to this policy, is solely at the nursery’s discretion.
  • Once you have registered with the nursery and booked a place, eight weeks’ notice in writing is required should you wish to withdraw your child from the Nursery or if you wish to reduce the number of sessions. If insufficient notice is given, you will be charged for your normal sessions during the notice period.
  • Fees, etc will be reviewed in January, April and September. In addition, we reserve the right to review fees, etc at any time by giving 1 months’ notice.

We send invoices and important information by email and via the Famly app. Please ensure that we have an up-to-date email address for you and that you notify us of any changes to your address or phone number. Thanks

Early Years Funding – will my child receive any Early Years funding?

  • The information below is a general guideline. For full information please see the following websites:

Get childcare: step by step (Gov.uk)
  • AGES 0-2: children aged 0-2 years do not currently receive any Early Years funding so full fees are payable as per the prices above. Early Years funding for eligible working families with children aged 9 -23 months will be available from September 2024. If eligible, this begins the term after a child a child turns 9 months. We offer this funding on a year-round stretched basis which means an eligible child will receive up to 11 funded hours per week for 51 weeks.
  • FUNDING FOR AGES 2-3: Some eligible 2-year-old children receive “2-year-old funding.” This begins the term after the child’s second birthday. We offer 2-year-old funding on a year-round stretched basis which means an eligible child will receive up to 11 funded hours per week for 51 weeks. Families who meet the criteria for this funding will receive a unique funding code from BCP.
  • FUNDING FOR WORKING FAMILIES WITH CHILDREN AGED 2-3: From April 2024, eligible working families with children aged 2-3 will qualify for Early Years Funding. This begins the term after the child’s second birthday. We offer 2-year-old funding on a year-round stretched basis which means an eligible child will receive up to 11 funded hours per week for 51 weeks.
  • UNIVERSAL FUNDING FOR CHILDREN AGED 3-4: all children aged 3-4 are eligible to receive Early Years funding. We offer this funding on “stretched” basis only which gives up to 11 funded hours per week for 51 weeks per year. This funding begins the term after the child’s third birthday.
  • EXTENDED FUNDING FOR WORKING FAMILIES WITH CHILDREN AGED 3-4: eligible working families with children aged 3-4 can apply for extended funding (sometimes known as the “30 hours funding”). We offer this funding on “stretched” basis which gives up to 22 funded hours per week for 51 weeks per year (when combined with the Universal funding). This funding begins the term after the child’s third birthday.
  • APPLYING FOR FUNDING: It is the responsibility of parents to apply for extended or working families funding in the term before funding begins. It is also the responsibility of parents to reconfirm their eligibility every 3 months (Government requirement).
  • STRETCHED FUNDING: please be aware the stretched funding is only for 51 weeks per year and excludes the period over Christmas / New Year when we are closed (and when no fees are charged).
  • ADDITIONAL HOURS: parents are welcome to book additional sessions. These are charged at our standard rates. We sometimes offer additional hours at discounted rates – any offers will be sent out via Family.
  • SESSION AVAILABILITY: we try to be as flexible as possible with our sessions but, due to demand, it is not possible to book places on a “mornings only” basis. All sessions are subject to availability and there may be a waiting list for popular sessions. We do not usually offer term-time only places.
  • FUNDING START DATE: please note that all Early Years funding starts the school term after the child’s 2nd or 3rd birthday and does not therefore apply immediately after the child’s birthday. In the case of under 2’s the funding will start the term after the child is 9 months old.
  • MINIUMUM SESSIONS: our session options are shown below. Our minimum session duration is 4 hours, and we cannot register children for shorter sessions. This means for example, that if you receive 11 hours of funding per week and you wish to book 3 sessions per week (12 hours in total), your funding will cover 11 hours and you will be charged the normal rate for 1 hour.
  • All additional hours and services will be charged at the rates above. Funded hours are subject to an hourly consumables charge as shown above.
